In Washington State, a Banquet Permit is required in certain situations when hosting an event where alcohol will be served. Here are the circumstances in which you would need to purchase a Washington State Banquet Permit:
Private Venues: If you are hosting an event at a private venue, such as a rented hall, community center, or private residence, and you plan to serve alcohol, you will need a Banquet Permit. This applies to events such as weddings, parties, or other private gatherings.
Temporary Events: If you are organizing a temporary event, such as a fair, festival, or fundraiser, and alcohol will be served, a Banquet Permit is required. This includes events held in public spaces or temporary venues.
Nonprofit Organizations: Nonprofit organizations hosting events where alcohol will be served, including fundraising events or galas, are required to obtain a Banquet Permit.
It's important to note that a Banquet Permit does not grant you the authority to sell alcohol. If you plan to charge attendees for alcohol or operate a cash bar, you will need to obtain the appropriate license from the Washington State Liquor and Cannabis Board (LCB).

Personal event liability insurance, also known as special event insurance or private event insurance, is a type of coverage that provides protection and financial security for individuals hosting private events, such as weddings, parties, or receptions. It is designed to safeguard the host (that’s you!) from potential liabilities and unexpected incidents that may occur during the event.
Here are a few key points regarding the necessity of personal event liability insurance:
Liability Protection: Personal event liability insurance protects you, the event host, from potential legal and financial liabilities in case of accidents or injuries that occur during the event. Accidents can happen even with the best planning, and this insurance helps cover the costs associated with bodily injury or property damage claims that may arise.
Venue Requirements: Many wedding venues, including ours, require clients to have personal event liability insurance as part of their contract. This is to ensure that both the venue and you, the client, are protected in case of any unforeseen incidents. By having insurance, clients can comply with the venue's requirements and avoid any potential issues.
Peace of Mind: Personal event liability insurance provides peace of mind to you, as the event host. It allows you to focus on enjoying your special day without worrying about the financial implications of unforeseen accidents or damages. It acts as a safety net, providing reassurance that you are financially protected.
Coverage for Property Damage: In addition to liability coverage, personal event liability insurance may also include coverage for property damage. This can be helpful if any of the venue's property or equipment gets damaged during the event. Having insurance ensures that the cost of repairs or replacements is covered, reducing any potential financial burden on the client.
Alcohol-related Incidents: If the event involves the service or consumption of alcohol, personal event liability insurance becomes even more crucial. It can protect the host from liabilities related to alcohol-related accidents, injuries, or damages. This coverage is particularly important in today's litigious society, where alcohol-related incidents can lead to costly legal proceedings.
Vendor Requirements: Personal event liability insurance may also be required by vendors who are providing services for the event, such as caterers, photographers, or entertainers. Having insurance in place ensures that all vendors are protected and minimizes the potential for disputes or complications.

Requiring vendors to provide their Washington State license and insurance is a common practice for wedding venues and event spaces. There are several reasons why our venue enforces this requirement:
Compliance with Regulations: Wedding venues have an obligation to ensure that all vendors operating on their premises comply with applicable laws and regulations. By requesting vendors to provide their Washington State license, your venue can confirm that the vendors are legally authorized to offer their services in the state. This helps maintain compliance with local business and licensing requirements.
Professionalism and Reliability: Requesting vendors to provide proof of insurance demonstrates that they are professional and reliable. Vendor insurance coverage protects both the vendor and the venue in case of accidents, damages, or liabilities that may arise during the event. It reassures the venue that the vendor is prepared for unforeseen circumstances and has taken steps to mitigate potential risks.
Liability Management: Song River carries its own liability insurance to protect itself, but we also want to ensure that vendors working at our venue have their own coverage. Requiring vendors to provide insurance helps ensure that any potential liability claims arising from the vendor's actions or services will be covered by their own insurance, rather than falling solely on the venue.
Risk Mitigation: Requiring vendors to provide their licenses and insurance helps mitigate potential risks associated with their services. It ensures that vendors are qualified, experienced, and reputable in their respective fields. Verifying licenses and insurance coverage can help prevent any issues that may arise from working with unqualified or uninsured vendors, reducing the risk of service disruptions, legal complications, or financial liabilities.
Client Protection: Requiring vendors to provide their licenses and insurance serves as an added layer of protection for clients. It demonstrates that Song River takes the safety and satisfaction of its clients seriously by vetting and working with vendors who meet specific standards. This requirement helps provide peace of mind to our clients, knowing that they are working with reputable and insured professionals.
By enforcing these requirements, Song River aims to create a secure and reliable environment for clients, ensuring that their events run smoothly and without unnecessary risks. It is a proactive approach to managing vendor relationships and safeguarding the venue's reputation.
Please have your vendors send in their Washington State License and Insurance.
At an absolute minimum, we need this for your catering and bartending. If your other vendors do not have this, then any possible damages that are incurred would fall under your personal event insurance.
